2nd Annual NCPSMA Western Convention Workshop Regular Member Information Members of the 2nd Annual NCPSMA Western Convention Workshop Planning Committee are pleased to announce we are accepting registrations for the convention workshop to be held May 26-28, 2010 at the Ridgecrest Conference Center in Ridgecrest NC. We are very excited about this new opportunity to provide more classes to our members and give our vendors another chance to meet with members each year (NCPSMA will continue to hold the eastern convention/workshop each year at the coast in September). Ridgecrest is a beautiful place to host such an event and we feel you will enjoy your stay there and that the event will prove to be very beneficial for our regular members as well as our exhibitors. Many hours of planning and decision making have been exercised in putting together the event and we are excited to see it all start to come together. We hope you will make plans to attend! There will be 22 workshops offered during the event including workshops for continuing education credit hour classes. There will be renewal credit hour classes for Electrical (8) total, HVAC/Plumbing (6) total, Structural Pest (4) total and Ornamental Pest (4) total. The workshops should prove to be of interest to all maintenance personnel as well as public school administrators. Widely known professionals with years of experience will conduct workshops and programs. The NCPSMA Planning Committee worked hard to provide workshops that will offer special programs of interest as well as needed refresher classes. Also, please see the important information section concerning the 1st Annual Western Convention Workshop listed below. It is very important that you read this because many things will be different from the eastern convention workshop. When completing the registration form, please print neatly as the information for name tags and certificates will be taken from this form. LEA’s who send in registration for several employees at once need not fill out individual forms. They may send in a sheet of paper listing the names of those they wish to register along with the LEA address, phone and fax number and a the name of a contact person and their e-mail address. The deadline for preregistration ($50) is May 13, 2009. Registrations not received before that date will be subject to late fee registration ($75). Also, please note that meal tickets for Ridgecrest need to be purchased along with the registration (if you plan to eat at Ridgecrest). Meal tickets will not be available for purchase after May 5. Please note that we need to know if you will be staying on site at Ridgecrest or will be a daily commuter. We have to give a count to Ridgecrest of daily commuters. Please encourage your LEA to send in the registrations early. We expect this convention/workshop to be well attended. As this is our first western convention/workshop and also one of the first to be held in the new conference center at Ridgecrest, this will be a learning experience for both of us. There may be a few kinks that will need to be worked out. We ask for your patience and guidance. Please let us know if we can reasonably improve any aspect of the convention/workshop. On/Off Campus There is a place on the registration form to check whether you will be staying overnight at Ridgecrest. We must know if you will be staying on campus at Ridgecrest or a daily commuter. This information is required by Ridgecrest. Please make sure you check the appropriate box.
Meal/Banquet Tickets You must purchase the meal ticket ($60.00) if you plan to have any meals (other than banquet) on campus at Ridgecrest. You will not be able to purchase individual meals at Ridgecrest. The banquet meal is included in the registration cost. You will need to purchase a meal ticket for your guest/spouse if they plan to eat on campus. If you have a guest/spouse that will only be attending the banquet, you may purchase a banquet ticket only ($35). You will need to purchase your meal ticket and or extra banquet ticket by May 5. We have to give the count to Ridgecrest by this date. You will not be able to purchase a meal ticket or banquet ticket after this date. Note: Some vendors/exhibitors give away their banquet tickets at the eastern convention because the banquet is on Friday night and most of them leave Friday afternoon. The banquet for the western convention will be on Wednesday night- the first night, thus we anticipate the vendors/exhibitors will attend the banquet. If so, this will eliminate “extra” tickets. If you plan to bring your spouse or a guest to the banquet, you will need to register them or purchase a banquet ticket. The meals ticket covers lunch on Wednesday (Wednesday night is the banquet which is included in the registration cost), breakfast, lunch and dinner on Thursday and breakfast and lunch on Friday.
Hotel Reservations Ridgecrest has a beautiful, restful, relaxing campus. I’m sure you’ll find it to be a welcome oasis. Ridgecrest hotel room reservations are to be made on an individual basis. NCPSMA will not assign rooms as was the case with the Mars Hill Conference, nor is the hotel room charges included in registration. When you make your reservations for a hotel room at Ridgecrest, you must tell them that you are a participant of the NCPSMA Convention/Workshop. Ridgecrest usually charges half of the total charges to individual credit cards upon making the reservation. NCPSMA has paid a good faith deposit so that this will not be the case for our participants. Please make sure you tell the Ridgecrest Reservations Clerk when you make your reservation that you are not to be charged fees upfront. The rooms that are blocked for our event are nice “hotel quality” (yes they are air-conditioned) rooms. However, there are no TV’s in the rooms. TV’s are provided in the lobby areas. Phones and wireless internet are provided in the hotel rooms. The room block for our event ends May 5, 2010. If you plan to stay at Ridgecrest you will need to make your reservations prior to that date. The room rates will be between $90 and $110 (no tax J) depending on the room and occupancy number of each room. Reservations request will need to include group name and city along with the name, address, phone number and e-mail address if available for each attendee. Reservations are to be made by calling directly into the Ridgecrest reservations department (800.588.7222. All reservations are required to be guaranteed by a credit card number to “guarantee the room”. Charges are not to be made to the card upon reservation. Appropriate charges will apply upon check-in or late cancellations or failure to cancel. Again, individuals will pay for rooms at the time of check-in. In the event a confirmed reservation must be canceled, the cancellation notice must be received 60 days or more prior to the event to receive a full refund. Cancellations made 30-59 days before the event will forfeit one-half of the deposit (NCPSMA has made a deposit). No refunds will be given for cancellation made less than 30 days prior to the event. Ridgecrest is not a “transient hotel.” Thus rescheduling of cancelled rooms requires greater advanced notice. Please keep this in mind and help avoid cancellation penalties. Check in time is 3 pm and check out time is 11 am. You need to let Ridgecrest know if you will need a handicap accessible room when you make your reservation.
Ridgecrest Behavioral Standards Ridgecrest is a Christian Conference Center. The following standards help to assume the comfort of all guests.
Registration A list of names does not “qualify” for the preregistration deadline. A check or money order must be included. If you do not send the names and payment by the preregistration deadline (May 13, 2010) please pay the late registration fee. LEA’s sending one check for multiple registrations need not fill out individual registration forms. A single sheet listing the individual names of those they wish to register along with the LEA name, address, phone and fax numbers, contact persons name and e-mail address will be sufficient.
